THE OPPORTUNITY

As a member of the Corporate Relations team, the Project Coordinator, Corporate Relations helps engage the private sector in Ocean Conservancy’s work. The role supports the stewardship of the existing corporate portfolio and the cultivation of new prospects through coordinated logistics, timely communications, follow up, tracking, and overall administrative coordination and support.

The Project Coordinator contributes to a positive and respectful team culture while supporting all phases of corporate engagement, prospect development, and relationship management. Core activities include responding to corporate inquiries, scheduling and preparing for meetings, drafting proposals and reports, processing contracts and invoicing, tracking funder deliverables and deadlines, maintaining accurate records, conducting research, and drafting content for the website and e-newsletter. The coordinator will interact regularly with Legal and Finance to route agreements, ensure compliance, and complete close out documentation. The Project Coordinator will coordinate and maintain a system that serves as the single source of truth for status, next steps, and data integrity for the Corporate Relations team.

The Project Coordinator, Corporate Relations reports to the Interim Director, Special Projects.

Key Responsibilities

Portfolio Stewardship and Support Service

  • Maintain corporate support summaries, pipeline documents, stewardship plans, and tracking reports.

  • Assist with planning and implementation of donor touchpoints, including the corporate e-newsletter and related outreach.

  • Build positive working relationships with corporate supporters and provide timely responses to requests.

  • Process gifts and acknowledgements in coordination with internal partners, following established procedures and policies.

  • Maintain a professional presence and clear, courteous communication, with a service-oriented approach to corporate relations. 

Prospecting and Pipeline Support

  • Triage and respond to inquiries from interested companies.

  • Conduct basic prospect research and organize findings in team systems.

  • Track frequency and type of inbound prospect inquiries and prepare simple summaries for team review.

Due Diligence, Contracts, and Compliance

  • Facilitate the due diligence process, work closely with vendors to request needed information, and track delivery of reports.

  • Coordinate contract routing with attorneys to ensure timely review, processing, and execution of partner contracts.

Communications and Materials

  • Partner with Resource Development and Strategic Communications to coordinate deliverables for funder recognition, such as website mentions, inclusion in e-newsletters, and other visibility commitments.

  • Draft and format content for the website and e-newsletter and assist with proposal development and report drafting as requested.

  • Collect, organize, and submit materials for donor reports and proposals, including attachments, visuals, and data tables.

Data, Systems, and Reporting

  • Enter and update funder communications, actions, and deliverables into Raiser’s Edge and various tracking documents.

  • Coordinate timely submission of acknowledgements, proposals, reports, updates, and invoices.

  • Maintain Raiser’s Edge as the single source of truth for corporate relations data.

  • Coordinate the tracking of revenue and budget trends and help prepare routine revenue forecasts and summaries.

  • Build dashboards and reports showing active accounts, pipeline health, deliverable status, and KPIs for leadership.

Meetings, Project Management, and Administrative

  • Schedule team, prospect, and supporter meetings and calls. Prepare agendas, take detailed notes, capture next steps, and circulate follow up items.

  • Apply disciplined project management practices, including timelines, task lists, and status updates.

  • Prepare concise briefing and talking points for executive leadership team members.

  • Provide cross-team support on special projects and events as needed. 

Desired Skills, Qualifications, and Experience

The ideal candidate will have many of the experiences and qualifications described below but need not possess them all for consideration:

  • Bachelor’s degree or equivalent experience, and 2-5 years of relevant work experience supporting fundraising, corporate engagement, account coordination, or project management within a nonprofit.

  • Strong organization and attention to detail, with the ability to manage multiple priorities, meet deadlines, and follow through with minimal reminders in a fast paced, deadline driven environment.

  • Critical thinking and continuous improvement mindset, with a commitment to thoughtfulness, resourcefulness, and creativity.

  • Excellent interpersonal skills and written communication skills, with adaptable flexibility, a collaborative working style, and the ability to work independently and as a reliable team member.

  • Experience conducting prospect research and managing prospect pipelines, including documenting findings and next steps.

  • ·Familiarity with Constituent Relationship Management (CRM) systems such as Raiser’s Edge NXT, Asana or similar project management tools, Canva, Excel or Google Sheets, and LexisNexus, or comparable prospect research platforms.

TRAVEL
 

This position requires occasional travel (approximately 5–10%) to attend trade shows, conferences, supporter activations, and meetings with supporters and prospects.

LOCATION 

This is a hybrid role based in Washington, D.C., with in-office attendance required at least two days per week.

COMPENSATION & BENEFITS

The minimum salary for this position is $60,000 annually, with an anticipated starting salary dependent upon the hired candidate’s location, qualifications, background, and experience. In addition, Ocean Conservancy offers a comprehensive benefits package to include:

  • Retirement Planning - 100% vested upon hire; can begin contributing at hire. After 1 year, Ocean Conservancy will open a 401(a) account for you and will contribute 6% of your monthly salary whether you participate in the 403(b) or not.   

  • 15 paid vacation days, 11 holidays, 12 sick days, and two personal days
