Given the significant gap in the understanding of extreme heat and its disproportional effects on women, HERA was co-founded by four women leaders who care deeply about addressing climate change and its impacts on women and vulnerable communities.

In its first two years, HERA has raised more than $20 million to expand its programs and impact. Today, HERA operates in eight countries, including Sierra Leone, Pakistan, Ghana, Liberia, Thailand, India, Kenya, and the United States. THE OPPORTUNITY

HERA is seeking a highly organized, proactive, and people-oriented Human Resources & Operations Associate to support the organization’s growing global workforce and operational infrastructure. This role will provide day-to-day support across HR administration, employee lifecycle coordination, workforce operations, and administrative processes.  In addition to HR coordination, this role will support the operational systems, vendor relationships, workflows, and administrative processes that help HERA’s global team stay organized, connected, and able to do its best work.  

The ideal candidate enjoys creating structure, supporting people, and helping organizations run smoothly behind the scenes. This position is well-suited for someone who thrives in a dynamic, mission-driven environment and is comfortable balancing multiple priorities while maintaining a high level of professionalism and attention to detail.

Reporting to the Director of Operations & Reporting, the Human Resources & Operations Associate will work closely with the Finance & Administration team, and external partners, including HERA’s Professional Employer Organization (PEO), Employer of Record (EOR) providers, IT vendors, and recruitment partners.

Key Responsibilities

Human Resources Coordination

  • Support day-to-day HR administrative functions and employee lifecycle activities

  • Coordinate onboarding and offboarding activities for U.S. and international team members, including schedules, documentation, equipment tracking, system access, and orientation logistics

  • Serve as a day-to-day administrative liaison with the organization’s PEO and EOR partners

  • Assist with employee documentation, contracts, compliance tracking, and personnel records

  • Support benefits administration, payroll coordination, and workforce data management

  • Help maintain HR policies, SOPs, onboarding materials, and employee resources

  • Assist with recruitment coordination, including interview scheduling and candidate communications

  • Maintain staff directories, organizational charts, and workforce trackers

Operations & Administrative Coordination

  • Provide operational and administrative coordination support across HR and Operations teams

  • Assist with vendor coordination, travel planning, and organizational logistics

  • Coordinate meeting logistics, calendar scheduling, and follow-up action items

  • Support cross-functional communication to help teams stay aligned and organized

  • Assist with documenting and improving operational workflows and procedures

Systems & Process Support

  • Maintain HR and operational trackers, databases, and internal systems

  • Coordinate with IT vendors regarding account setup, system access, and equipment management

  • Ensure accurate and timely record keeping across workforce and operational activities

  • Support process improvements that strengthen organization, consistency, and scalability

Desired QUalifications & Experience

The ideal candidate for this role will possess many of the following attributes and skills described below, but need not possess all of them for consideration:

  • 2–5 years of experience in Human Resources, Operations, Administration, or related fields

  • Experience supporting onboarding, HR administration, workforce coordination, or other people operations functions

  • Familiarity with PEOs, EORs, or global workforce structures

  • Strong organizational and project coordination skills with the ability to manage multiple deadlines and priorities while maintaining a solutions-oriented mindset

  • Keen attention to detail, with the ability to identify errors, inconsistencies, and missing information and take initiative to resolve them effectively

  • Ability to work independently, manage competing priorities, and follow through on tasks with accountability

  • Clear and proactive verbal and written communication skills, including the ability to navigate multiple stakeholders, ask the thoughtful questions, and follow up effectively across teams

  • High level of professionalism and discretion when handling sensitive information

  • Proficiency with Microsoft 365, Teams, Excel, and other operational systems and tools, with comfort learning new systems quickly

  • Deep commitment to equity, feminist values, and global inclusivity

TRAVEL

Limited travel (domestic or international) may be required for staff retreats or partner support (less than 10%).  

LOCATION & Work Environment

This is a remote, U.S.-based position, with a preference for candidates located in the Eastern Time Zone.

The role requires regular coordination across global teams, including occasional early morning or evening meetings. Candidates must have reliable internet access and a workspace that supports remote work.

COMPENSATION & BENEFITS

The minimum starting salary range for this position is $65,000 annually, with an actual starting salary dependent upon the hired candidate’s location, qualifications, background, and experience.
